Inventory Controls Clerk

Job Summary

The Inventory Controls Clerk focusing on WIP Cycle Count supports a finance-led inventory accuracy project focused on Work in Process (WIP) and supermarket areas on the production floor. The role helps clean and validate WIP locations by confirming that items physically exist, matching them to system records, and ensuring that all related floor transactions are correctly recorded and documented. The position collaborates closely with Operations, Production, Warehouse, and Finance to improve inventory accuracy, data integrity, and controls in the manufacturing process.


Key responsibilities

  • Perform regular cycle counts in WIP and supermarket locations, comparing physical quantities to ERP/system inventory and documenting variances.
  • Validate that all items are in the correct locations, properly labeled, and associated to the right work orders or production orders.
  • Investigate inventory discrepancies (missing parts, negative stocks, unexpected balances), identify root causes, and propose corrective actions.
  • Work with Operations and Production teams to verify floor movements (issues, returns, scrap, transfers, completions) and ensure the related transactions are correctly recorded in the system.
  • Support Finance in reconciling WIP and supermarket balances to the general ledger and in preparing documentation for audits or month-end close.
  • Track and report daily/weekly cycle count results, KPIs, and action items to the project lead and stakeholders.
  • Help standardize procedures for WIP and supermarket inventory transactions (e.g., material issues, backflushing, location changes) and support training of operators and material handlers.
  • Document gaps in current processes and collaborate with Ops and Finance to implement process improvements and controls.
  • Maintain organized records of counts, investigations, corrective actions, and updated location master data.
  • Escalate systemic issues (system setup, BOM/screen errors, routing or backflush logic) to Finance, Ops, and IT as needed.
  • Monitor material movement between processes and workstations
  • Ensure real-time accuracy of WIP records in ERP systems
  • Conduct daily and periodic WIP physical verification
  • Review and manage daily negative inventory and resolve system discrepancies
  • Ensure timely completion and proper closure of sub-assembly production orders
  • Compare Bill of Materials (BOM) with actual material consumption for each product
  • Identify, analyze, and report BOM vs actual usage variances (scrap, loss, over/under consumption)
  • Ensure FIFO, traceability, and material control compliance
  • Drive process improvements to reduce material wastage and variance

Reporting and collaboration

  • Reports to: Finance Controller lead by Inventory and Cost Accountant
  • Works closely with: Operations Manager, Production Supervisors, Warehouse/Materials team, IT/ERP support, and Internal Audit (as applicable).

Required Skills & Qualifications

Experience with inventory, WIP, or production environment (cycle counting, warehouse, or production control experience is an asset).

Strong understanding of basic inventory and WIP transactions, including how floor transactions impact financial statements.

Good knowledge of ERP/MRP systems and inventory modules; comfortable working with transactions, reports, and exports.

  • Strong Excel and data-analysis skills to reconcile counts, investigate variances, and build simple reports.
  • High attention to detail, strong organizational skills, and ability to work on the production floor and in office settings.
  • Effective communication skills to coordinate with Finance and Operations, challenge discrepancies diplomatically, and support training.
  • Problem-solving mindset, ability to identify root causes and propose practical process improvements.

This pay rate for this position is between $23-25 per hour.

Working hours at 8:00am-4:30pm.
